Administrator Position (Part-time)
Roles and Responsibilities – include but are not limited to:
- Respond in a timely manner to all external correspondence and coordinate responses where necessary
- Assist members with queries, networking and requests for information
- Organize agendas and meetings for EXCO and subcommittees. Host meetings on Zoom and take minutes, follow up with key takeaways and next steps.
- Communicate the EXCO and subcommittee meetings schedules at the start of every week
- Assist the Executive Director or exco members to create PowerPoint presentations as required
- Managing video/transcript and communication following any meeting or event
- Manage membership application process and liaise with EXCO to approve new members
- Onboard new members and integrate into all communication channels
- Maintain membership, committees, allies, and industry databases and partner lists and contact information
- General email management and Gdrive organization, including existing policies, forms, handbooks, published and draft guidelines, subcommittee notes as well as the access and security requirements for each
- Maintain Xneelo email distribution lists
- Manage and maintain usage policies for all accounts including zoom, google suite, mailchimp, etc
- Collate monthly payment requests and forward invoices to Treasurer
- Assist generally with initiatives and events as needed
- Administer AGM and liaise with EXCO, co-chairs, executive director and subcommittee chairs for smooth running of election and reporting to membership
- Coordinate travel and accommodation bookings as occasionally required
- Maintain document filing on the G-drive
- Assist with funding applications and donor reporting, including maintaining and updating supporting documentation
- Produce monthly financial reports in conjunction with the Treasurer
- Assist the Communications Manager as required including with setting up member webinars and events
Qualifications:
- Broad knowledge of the South African film and television landscape and roleplayers
- Self-starter with strong integrity
- Strong communication and listening skills
- Strong attention to detail and meticulous
- Excellent time management skills with the ability to prioritise work
- Excellent writing skills
- Familiarity with the Google Suite of apps (Gmail, Forms, Drive, Google Monkey Surveys etc.)
- Consistent, guaranteed availability to work at minimum 10 hours per week – schedule to be negotiated
- Able to commit to minimum 1 year in the position
- Experience working with people from diverse racial, gender, linguistic and socioeconomic backgrounds.
- Strong technical skills as well as proficiency in MS Office Suite
- Must have own computer, reliable data network, home office, own transport
- The position is highly flexible in the delivery of tasks within specific time frames
- Communications/PR/social media experience would be advantageous
The ideal candidate should have:
- A love for and knowledge of the South African film and television industry
- A belief in the power of organizing to make change
- Analytical and organisational skills with the ability to multi-task
RENUMERATION
The position is part-time, comprising 10 hours of work per week with a total of 40 hours per month at a rate of R200/ hour. Upon rendering an invoice and timesheet, a monthly fee of maximum R8 000 will be paid as well as a monthly stipend for data and phone usage.
